Circulation Policy
Eligible
Patrons
Eligible patrons of Paul V. Galvin Library are: the IIT
community, including faculty, students, and staff; IITRI
Life Science; University Technology Park (UTP); VanderCook & Shimer students,
faculty and staff spouses; subscribing alumni; International IT; authorized
Visiting Scholars; and valid
I-Share patrons.
Valid Identification
Cards
In order for any IIT library patron to receive
borrowing or other library privileges, the patron must own and
provide a valid IIT identification card. IITRI personnel will use
their employment ID card.
Undergraduate students.
Undergraduate students are eligible library patrons as long as they are
enrolled in classes. The patron expiration date coincides with the end of a
registered term for an undergraduate student. Undergraduate
students may extend library privileges from the end of one semester to the
beginning of the next semester. Please contact the Circulation
Department for further information.
Graduate Students. Graduate students are
eligible library patrons as long as they are enrolled in classes. The
patron expiration date usually coincides with the end of a registered term.

Faculty. IIT faculty ID cards
are issued on the calendar date the individual joins the faculty or
when the faculty member requests a new card. Faculty are encouraged to use
their IIT ID card, especially when visiting other libraries. ID
cards are available at the campus
HawkCard Office.
IITRI personnel. The
Circulation Department is notified by IITRI of all IITRI personnel who are
eligible for library privileges. IITRI personnel will use their employment ID card
as identification at the Circulation Desk.
University Technology Park (UTP) personnel. The
Circulation Department is notified by UTP members of all UTP personnel who are eligible for Galvin Library privileges. UTP personnel will use their IIT ID card as identification at the Circulation Desk.
UTP patrons have local borrowing privileges for IIT materials only.
I-Share patrons. Patrons from other
I-Share academic institutions must have a valid ID card from their respective
institution to receive Galvin Library privileges. The patron record must be present with active
status in the
Voyager circulation database.
VanderCookCollege of Music and Shimer College.
Faculty, staff, and students
are required to provide their valid institution ID to borrow materials from
the IIT libraries. Current lists of eligible students are
provided to the Circulation Department by the VanderCook Rupp Library,
as well as Shimer College Library. VanderCook and Shimer College
patrons have local borrowing privileges for IIT materials only.
Alumni. If you are an IIT
alumnus or alumna, you are eligible to subscribe to Galvin Library
privileges for an annual fee. See our Alumni
page for more information.
Subscribing alumni, visiting scholars, and spouses of faculty
and staff who have completed the forms, will be asked to show either an IIT
issued ID card, or a government issued ID (examples include State ID,
Driver's License or Passport) when entering Galvin Library after public
access hours or when borrowing materials.
Visitors
Without Valid ID Cards
If you have no affiliation with IIT or any library that
has reciprocal borrowing arrangements with IIT, you may still borrow IIT books through your local public library's interlibrary loan service.

Books
Most IIT circulating books have a guaranteed
circulation period of 3 weeks. Each I-SHARE institution determines its own circulation
policies, and the loan period may vary among institutions. In most cases,
it is possible to extend the original loan period of circulating books by
renewing the book. The following users have a circulation period of 3 weeks
per charge and renewal: IIT undergraduate students; staff spouse;
faculty spouse; VanderCook & Shimer students, subscribing
alumni; International IT; ILLINET libraries; and valid I-Share patrons.
IIT faculty and staff, IITRI Life Sciences, and valid
I-Share patrons have a circulation period of 16 weeks per charge and
renewal. IIT graduate students may borrow IIT books for an
entire semester.

fines, and fees at "My Account" in the I-Share
catalog.
Reserve
Materials
Reserve materials are shelved at the Circulation Desk
where their use is monitored to ensure maximum availability. These
materials are in high demand and are used frequently. The loan period for
Reserve materials varies from 2 hours to 7 days, based on the instructor’s
request or library policy. Reserve materials are in various formats. The
books may belong to IIT or may be personal copies of instructors. Hard copy
in folders usually consists of class notes, solution sets, exams, and other
materials that your instructor has made available for a specific course.
You can search for reserve items using the reserves tab in the online
IIT catalog. Reserve items are not renewable.
Electronic Reserves are class or
instructor materials that have been placed online for access by enrolled IIT students.
Visual materials such as videos and DVDs are shelved
at the Circulation Desk. They may be placed on Reserve for a specific
class, or they may be shelved here to ensure maximum security and
availability. The circulation period is 1 day for students and 3 days
for faculty. As with other Reserve items, these materials are not
renewable.
Laptops
Galvin Library has loaner laptops available for use by current IIT
students, faculty,
and staff. Laptops are for use in the library building only. The borrower is
responsible for ensuring the laptop is not damaged, lost, or stolen while it
is charged. Each laptop may be borrowed for a 2-hour time period. If
another user has not requested use of the laptop, you may renew for an
additional two
hours, but you may renew for only one additional two-hour period. Advance
reservations are not accepted for loaner laptops. Laptops are lent on a
first-come,

Non-Circulating
Materials
Journals, reference books, microforms, government
documents, and items from Special Collections do not circulate. The special
location is indicated in the IIT
catalog and the I-Share
catalog. These materials are available for use inside Galvin Library.
Holds and
Recalls
When you need an IIT book that is currently on loan,
the Circulation Desk staff will
assist you by calling in the book if the desired IIT book is in a renewal
period or is overdue. You will be notified when the book becomes available. If a book in your possession has been
recalled, it must be returned by the date indicated in the Galvin Library
recall notice sent by e-mail. A patron who does not comply with this recall
policy will be subject to a recall fine of $2 per day past recall for all
IIT books. When a lending library recalls one of its items,
our patrons are obligated to return items promptly upon notification or be
held responsible for any fines or fees, up to replacement cost, charged by
the lender. Library borrowing privileges will be blocked until the
recalled item has been returned and all charges have been paid.
Search
Requests
Item owned by
Galvin Library
When you need a book that is not on the shelf, the Circulation Desk staff will assist you
in completing a Search Request for the book. The book will be searched for,
and you will be notified as soon as it is found. Meanwhile, you may also
place a request for the item in the
I-Share catalog.
Item not
owned by Galvin Library
You may request that the Galvin Library secure
articles, books, and other materials on your behalf through interlibrary loan. You also may go
directly to any other
I-Share consortium library and use your valid IIT ID card to check out books at that other
institution. In certain situations, arrangements for access to other local
collections, such as the Regenstein and Crerar libraries at the University
of Chicago, may also be made.
Renewals
To
renew a book
It is best to renew IIT and other I-Share books online at
“My Account” so that you will immediately know the new due date or if
the item is not renewed. Access "My Account" through the IIT
online catalog.
Books from other
institutions not in I-Share: You can use the
"My Account" feature in WorldCat's FirstSearch. Make sure to carefully follow the
instructions
for setting up your FirstSearch account. Books borrowed through
FirstSearch follow the circulation policy of the lending institution, with
most loan periods being 3-6 weeks.
Book
Return
During library open hours, it is best to return all
books to the Circulation Desk or inside book drop at the Circulation Desk.
However, the book return on the outside east wall of Galvin Library is always
available. Return Reserve materials and videos to the Circulation Desk only. Items
left in the outside drop box are not considered returned until they are
retrieved by library staff.
If your borrowing privileges have been suspended due to non-returned items
or unpaid fees, please return all items to the Circulation Desk, so that the
suspension can be lifted and your account properly credited. Please allow 48-72 hours for the
removal of blocks from your library records.
Notices
A system-generated e-mail notice is sent to a patron as a courtesy
alert of an overdue or recall item. It is the
patron’s responsibility to be aware of return dates and to return or renew
all library materials in a timely fashion. If the item in question has
already been returned, please alert Circulation
Desk staff to the discrepancy as soon as possible. If you
still have the item in question, please return it immediately.
Fines and Bills
Fines
It is your responsibility to be aware of each library
due date. Fines are imposed on those users who are late in returning or
renewing library materials. All library patrons are subject to overdue
fines. The charging of fines is intended to encourage the
timely return of materials. The late return of library materials
prevents other users from having access to the materials. Fines for the
late return of most circulating books accrue at a rate of $.10 a day. The
fines continue to accrue until the item is returned.
Fines for the late return of special materials is $2.00
per day up to the cost of the item.
Other institutions: Any fines and fees
that are charged to you by I-Share or other institutions must be paid directly to the
respective institution. The Circulation Desk staff will assist you in
identifying the lending institution and items in question.
Appealing
Fines
If you feel that you have been billed in error,
present your situation to a staff member
at the Circulation Desk. You are encouraged to speak with
Tom Gleason, Circulation Manager, gleason@iit.edu or 312.567.3602,
for immediate discussion
of the situation.
Damaged Books
Notify the Circulation Desk staff as soon as possible
when you damage or lose a book. Minor damage to IIT books might be
repairable by library
staff. You will not be charged in that case. Some damage
becomes worse with time; so don’t delay in letting us know about any damage.
Damage to books from other institutions will be assessed by the owning institution
upon return of the item.
Lost Books
If you have lost a book, don’t
delay in letting us know. The library's ability to replace a book can
be jeopardized if the book is out of print or unavailable. Any library material lent to you remains your
responsibility until it is returned to the library and removed from your library
account. When a book is 1 month overdue, it will be assumed lost and a replacement
cost ($50 minimum and $25 processing fee) will be levied. If the lost
item is returned, replacement and processing fees will be waived, but
overdue fees may be assessed.
You must consult with the Circulation
Department before submitting a replacement copy for a lost or damaged
item. A replacement copy must be of the same or later edition as the
lost item and must be in like-new condition. Galvin Library reserves
the right to refuse any replacement that is not in acceptable
condition.
Loss of
Privileges/Privilege Blocking
Privilege blocking of an IIT patron will be posted in
the automated library system that is shared by the I-Share consortium. Charges
may be placed in SIS which will prevent registration, graduation or receipt
of transcripts.
Privilege blocking occurs
when:

you have not returned a Reserve item;
-
you have not returned a recalled item;
-
you have not returned a book owned or recalled
by
another institution;
-
your overdue fines have exceeded the institution
threshold;
-
your overdue items have exceeded the institution
threshold.
Privilege blocking is lifted
when:
-
you return recalled materials;
-
you return overdue materials;
-
you pay all applicable fines and fees.
Please allow 48-72 hours for the removal of blocks
from your library records.
